Hello from Chaos Software Group! It has been a little while since our last newsletter and we have quite a few announcements to send your way!

Do you have an iPhone or iPod Touch?

We have picked up a few iPhones ourselves and we really love how powerful the built-in web browser is to view real web pages. We have used Palms and Windows Mobile PocketPCs in the past, but their web browsers are simply not as capable. We hope that the successes of the iPhone will "encourage" Palm and Microsoft to get busy on their next versions to keep up, but in the meantime, we have been having so much fun with our iPhone, we have even made a special version of our ChaosHost.com web site to take advantage of the iPhone browser.

ChaosHost.com is our add-on web service that allows users to take their contacts, calendar appointments, to-do tasks and memos from their local pc or network and synchronize it with our server to make it available from other locations. An account for ChaosHost.com also allows you to use our Chaos Data Live web application so you can work with your data from a computer web browser and sync the changes back with Time & Chaos and Chaos Intellect on your PC.

iphone So what's new? We have added a new mobile iPhone friendly web application so you can work with your data through the iPhone web browser. While we still consider it a beta as we continue to add more functionality, it offers a great way to work with your Chaos Data while you are mobile. You can even add new icons to your iPhone screen if you want to go directly to Contacts, Appointments, Tasks, or Memos instead of the main home page.

Powerful new email features now available in Intellect

As you are aware, Chaos Intellect has all the great features of our Time & Chaos, plus a powerful business email client. With all of the email programs to pick from, Intellect is focused on using email in a business, which is why we already have features like email histories on contacts, network-shareable multiuser mailboxes, and e-mail merging for sending personalized emails to groups of people. Our newest 3.0.3.4 release of Intellect extends these capabilities ever further, making it an even better value than before!

Scheduled Send

We have added a new scheduling engine for email delivery where email can now be sent at a future date and time. This is accomplished by clicking the Send Later button from within the compose message screen once you have finished your message and are ready to schedule it for delivery. You can also schedule e-mail merge results to send later using the right click menu on your merge results.

Notice that below the folder for Queued Messages, we've added a new folder for Scheduled. This Scheduled folder is the place we store the messages until it is time to send them. You can even right click on the Scheduled folder itself and create a your own future date subfolder which you could drag and drop outgoing messages into.

Email Activity Series

Yes that's right, you can now setup a series of mailings to be sent to a client automatically scheduled at a predefined interval! This new feature takes full advantage of the new Scheduled Send feature and allows you to create a series of emails that you can merge and deliver to a contact over a scheduled time-frame.

This is perfect for a series of messages you might send to a new prospect or a new customer after you have added them to your contact list!

To create an email activity series, you will need to have already created the outgoing message templates and stored them in the Drafts folder. When ready, go to Tools and then to Activity Series Editor. If you choose E-mail Series, you can create a timeline for certain messages from your Drafts folder to be sent by clicking Add, picking an message and choosing how many days into your timeline should this message be sent.

To use an email activity series, highlight one or more names in your contacts area, then go to File, New Item, New Email Series. You'll get to pick which email series to deliver to these contacts and Intellect will do all the merges, then will automatically use the Scheduled Send to line up these new messages to go out at the appropriate times.

What else is new in the latest release?

Updates in Chaos Intellect 3.0.3.4 and Time & Chaos 7.0.3.4

appointments, tasks, contacts can be now dropped on file shortcuts of a memo.
Sync with Removable Media should now remember the location of the last sync
Fixed a vulnerability on restoring a password protected dataset
Improved the search matching in the reports module for the create date and last modified date fields by discounting the field's time content.
made a few refinements to the new memo preview panel.
Time & Chaos 7 now hides the program status bar to allow for additional viewing space. The primary purpose of the status bar was for email events and thus not relevant to Chaos 7.
fixed an issue where the Sync with ChaosHost.com was not always automatically refreshing the screen
the backup screen now includes a new button for Web Sync. Combined with the Prompt for backup, this should serve as a reminder to perform a web sync to sync with our ChaosHost service at program close.
when updating from the Check for Newer Version, the program will now automatically skip the next backup prompt when an update is being installed to enable simpler updating and usually save having to reboot.
added a print button and right click menu option on the Quick Find search results.
F12 has now been assigned as a short-cut to perform a websync with our ChaosHost service.
added a new Quick Find edit on the main menu
vCard export of selected contacts now additionally exports notes
should the import wizard fail to import a particular record, it will be marked on the import table in a red font so that we can isolate the failing record.
fixed a bug that prevented deletions of an item from the activity series editor

Updates in Chaos Intellect 3.0.3.4 only

added the ability to insert merge fields into the subject line of a message.
fixed a possible condition when leave mail on server is enabled that could re-download received messages if the message header contained a pre-existing x-uid header.
message date is now updated when message is actually sent and not when it was saved for sending.
added a message status indicator for "X" for representing Redirected email messages
added a second SMTP email address validation immediately before sending. recipients email syntax is revalidated and messages will be skipped over if non conforming.
If a mail server abruptly terminates the conversation due to a sending error in the middle of batch of outgoing mail, a reconnect to the server will be attempted.
Changes that you make while in the "View Page Source" of the compose message screen will now ask if you would like to update the document source. While this has obvious benefits to the advanced user this should make it easier for a newbie to edit a page default font in a template.
if the sending option is unchecked for "Reply Quoting Original Message", then the body of reply whether plain or html is blank, no headers, no body. If it is an HTML message the default stationery will be used for the reply.

How to update your software

If you would like to update a previous version of Time & Chaos 7 or Chaos Intellect 3, just go to the Help menu and look for "Check for newer version". Using this option, the program will check for a newer version and offer to download and install it for you.

We recommend allowing it to use the options that it wants to during install to replace your old version with the new. Any data files you have will not be affected by installing the update!

One more news item --- Photo Chaos

Fastrac Software has developed a useful addition to Time & Chaos or Intellect in the form of Photo Chaos. This add-on product brings an ability to your contact database that is similar to the ability of any 'smartphone' to attach photos to a contact record. Photo Chaos allows you to attach up to 10 JPEG (digital camera) images to each contact record and keeps those images in a file that is linked to your contact. Each image also has a note field attached, so you can put descriptions into each image for reference.
